How To Customize the Registration Passes and Check-in Process

Add passwords, limit accessibility and set the order the appearance for your registration passes.

 

New as of 02/28/2023: Add a disclaimer to your event's login window to notify attendees on terms and conditions needed to adhere to before entering the event. 

Be able to select the order they appear in for your registrants, add passwords for certain passes and make passes only accessible to those with unique registration fields. These enhancements are great tools to utilize for those events you would like to gather further information on from your attendees during the registration process. Overall, these features can be implemented in numerous ways for your events, either separately or together. Learn more about Registration Passes below.

How to Customize the Order of Registration Forms and Ticket Passes

 

1. Log in to your Main Series, and go to Manage Event dashboard

2. Once on the Manage Series dashboard, click on the Registration & Passes tab


3. Go to the Settings section at the top, then check the Complete registration form first, then select ticket pass. You can select which ticket pass to display based on the user registration data. This option does not allow users to purchase tickets for other attendees box or Select ticket pass first, then complete the registration form box. 




4. Scroll to the bottom and click Save

What this will do is set the order of either the registration form or ticket pass coming first for when your users register. At any point, attendees can click Back to go back and select a different pass or add another one.

If you select the Select ticket pass first, then complete the registration form setting, you will be able to check off another setting, Can Purchase Multiple Different Tickets. What this will do is give the ability to select multiple tickets and purchase them for separate attendees. Purchasing the tickets will be under one transaction, but can assign the tickets to separate attendees. When selecting a separate attendee, you will need to fill out the same registration form information that was filled in for yourself or the first attendee. 



For example, I have selected an Exclusive Pass and an In-Person Pass. During Check-Out, I can select which ticket I would like to have for myself, as well as select the other pass for another attendee. I would be able to purchase both the tickets while assigning myself to one ticket and my friend, colleague or other attendee to the other.

Note: This works for any multiple separate tickets selected. 


When matchmaking is enabled during your Check-In, you are able to select Complete registration form first, then complete matchmaking. Finally, select ticket pass. This will have your attendees complete their registration form first, select their matchmaking preferences and then purchase tickets.

How To Customize Registration Passes 

 

Note: The Complete registration form first, then select ticket pass setting has to be checked off to use custom registration fields for registration passes.

 

      1. Staying on the Registration & Passes tab, go from the Settings section to Passes

      2. From there, click Edit on the Pass you'd like to customize. 

 

      3. Scroll down towards the bottom, then use the dropdown menu under Only available when field, and select the custom registration field you'd like associated with that registration pass. 
    4. Next, enter in any specific fields that your attendees would enter into the Contains text box.  

For example, if you selected “Professional Interests” in your Only available when field dropdown menu; Marketing, Business or Design would go into your Contains text box. 

Note: The Contains text box HAS to include a phrase that was entered in when creating your Custom Registration Field

      5. When finished, click Save & Exit. 
      

 

 

What this does is act like a custom registration field (learn more here) for you to include in your registration passes, only allowing those with certain fields selected to access certain passes. 

Note: When using custom registration fields for registration passes, registrants are only allowed to buy one ticket

How To Add a Password to Registration Passes

Add a password to your Registration Passes, so only those registrants with the passwords gain access to those passes. 

 

1. On the Registration & Passes tab, go to the Passes section


2. From there, click Edit on the pass you’d like to customize. 


3. Scroll down towards the bottom, and in the Ticket Password (Registrant will need to enter this password to select this ticket) text box, enter in the password. 

Note: Registration Pass passwords are case sensitive

4. Click Save & Exit when finished.

How to Approve Registration based on Ticket Pass 

Note: You must have Can Only Purchase One Pass enabled. Find this setting in the Registration & Passes section under the Settings tab.

You can monitor and approve registration to attendees based on their ticket pass purchase. This can be used to ensure payment has been received before allowing attendees to proceed with check-in, or have only those attendees with a specific ticket pass be allowed to attend your event. 

For a new or existing pass,  check off Yes under the Event Host Approval Needed? setting. Enter in the email address that will receive these request emails, and the confirmation page you'd like to send registrants to while they wait for confirmation.

You will be able to view the approval status for the registrant in the Registrant section under the Approval Status column.

While your registrants are waiting for their ticket approval, they will be redirected to a confirmation page, or other location of your choice. You can send them to the confirmation page set up in your series, or choose to send them to a custom confirmation page built by our Page Designer. To do this, in the pass's settings, use the dropdown menu to select which custom page to send registrants to after purchase.

How to Add Custom Registration Fields for Registrants to Answer 

Whether newly added or already existing custom registration fields, you can have your registrants answer additional questions after they have selected and are in the process of buying your registration passes. This gives greater opportunity to ask specific questions and gather analytics about those registrants.

 

1. On your Main Series dashboard, go to the Custom Registration Fields section 

2. Either create a new custom registration field or click Edit on an existing custom registration field 

3. Scroll down to the bottom, and select Ask field after select ticket 

4. Click Save

 

 

Now, when a registrant selects a ticket, they will be asked that question. Watch the video below to see this in live action:

 

 

How To Redirect my Registrants to Another Location After they Complete Registration

After your attendees are done with registration, you can redirect them to a specific location within your Virtual Event. You can send them to the confirmation page, boot them over to the Check-In process, send them to a custom URL or send them to a check out confirmation page. 

For a custom URL, select the  Go to custom page setting and then enter in the URL.  With custom pages, you are able to create a notification banner at the top, with customizable text and color selector for the  banner text color and banner background.

For the check out confirmation redirect, check off Go to purchase successful page and enter in any custom text you would like to have for the page title and sub-description. Below is an example of a standard check out confirmation page:

Additionally, this same location redirection is available for your Check-In. Located under the Check-In section, under Settings, you can also send your users to the landing page, confirmation page or to a custom URL.

How To Customize the Login Window and Add Email Verification to Logging In

 

You can customize the Login window for your registrants, adding that extra detail to your event. In the Settings section, you can customize the: 

  • Login title 
  • Login description
  • Login button text 
  • Login placeholder text 

 

You can also add an additional verification email be sent before logging in, as well as showing their registration profile and navigational links during check-in. For verification emails, customize the: 

  • Verification email subject 
  • Verification email title
  • Verification description (for both the email and pop-up) 
  • Verification header, button and body text

You can add a disclaimer to your login window notifying the attendee that they are agreeing to your event's terms and conditions before logging into the event. This is customizable to the disclaimer you would like to notify attendees of, such as adhering to certain privacy policies or user agreements. 

 

Under Require email verification during login, check off Enable Login Disclaimer. You are then able to customize the: 

  • Login Disclaimer Title 
  • Login Disclaimer Description 
  • Agree to Consent Text

When attendees go to login, the disclaimer will be in the login window for them to consent to. They will not be able to login without verifying the disclaimer.
