How to connect your event with Xero

Integrating BigMarker with your Xero account allows you to send custom invoices and manage payments

With the new Xero integration, you are able to send your registrants invoices directly. Instead of purchasing a ticket through BigMarker, you can manage the external payment on Xero. Once you approve an invoice, the corresponding registration will be completed.

The Xero integration is only available for channels with an event license. If interested, please contact our Events Experts at sales@bigmarker.com or your customer success manager.

Before you dive in, here are some things to note about this integration:

  • The Xero integration is unique to BigMarker events. Invoicing with Xero is only available when registrants are signing up for an event with tickets.

  • You will also need to reach out to your BigMarker point of contact in order to enable this integration. Before you do this, the settings for the Xero integration will be inaccessible. 

Connect Xero to BigMarker

To connect Xero to your event, the BigMarker development team will need to enable it for your channel. Once this is completed, head over to the integrations section of the dashboard and for to the Xero integration. The first step will be to log in to your account. Click Connect to Xero to open up the login page for Xero.

Configuring the Xero integration

Once connected, you'll have a few options to set. First, you enable to invoice export and then decide which of your brand templates you want to use. This will determine the look and feel of the invoice that gets sent to each registrant.

Additionally, you will select which inventory item will be used in your brand template. Once you select the item, the read-only fields below will populate with information from Xero. Click here to learn more about adding items to Xero.

At this time you are only able to set one item per event, so ensure that your item has the same price as the ticket you are offering to avoid registrant confusion and reporting mismatches.

Configure your tickets

With your Xero integration connected, you'll want to go into the registration settings of the event admin. Look for the payment options settings and enable Xero Invoice.

Then on an individual ticket, turn on Enable Xero Invoice Payment.

When users select this ticket, they'll have the option of paying for the ticket via the Xero invoice. Once they do, they'll reach the confirmation page for BigMarker, and their Invoice will appear in your Xero account to manage.

Immediately after registration users will start in the Pending Payment category. Once their invoice has been approved in Xero, the registration will be approved and they'll have complete access to your event.
