Can I do a Test Run of my Virtual Event Before it Goes Live?

We are excited to announce our newest feature for Virtual Events: a Test Environment where hosts and admins can select and assign registrants to test roles, where they are able to do a walkthrough of the Check In, Top Navigation and Sessions on the Agenda of your Virtual Event. This feature allows you to capture the look, feel, and flow of your Virtual Event before it begins, to fully prepare beforehand as well as hammer out any last minute details as needed.

How to Assign Registrants as Test Roles

 

1. On your Main Series dashboard, click Manage Series Registrations.
 
2. Click View on the right side of any registrant, and check off the box Test Registrant

Now, these registrants will be able to view and test the flow of the Virtual Event without impacting the live production of the Virtual Event. 

 

How to Test the Check-In Process for Your Virtual Event 

1. On your Main Series dashboard, click Manage Event.

2. Click the Check-in section on the left hand side. 
3.To only show the Check in modules for test registrants, toggle the On/Off switch to OFF for each module. 
 

Now, to test this Check-in process, use the personalized URL for the test registrant and they will be taken to the Check-in of your event. Using a registrant that is not selected as a test registrant will bypass the check-in and show the Event’s landing page. Watch the video below to see this in live action: 

 

 

How to Test the Top Navigation for Your Virtual Event 

1. On your Main Series dashboard, click Manage Event

2. Click on the Event Modules section on the left hand side. Staying on that tab, click on the Navigation tab at the top. 

3. To only show the Top Navigation modules for test registrants, toggle the Show/Hide? bar to those modules you would like the registrants to see.  



Now, you can follow the same steps above by using the test registrants personalized URL to view the flow of the Top Navigation bar of your Virtual Event. Watch the video below to see this in live action: 

 

 

How to Test the Agenda for Your Virtual Event 

1. On the Manage Event  dashboard, click to the Sessions section.

2. From there, click on the Manage button of any Session listed you would like to have a test environment of. 
 
3. You will be redirected to the Update Session section for that session. Scroll down and check off the box Test Session, then click Save & Exit
 
4. Now, when looking at the session, it will be labeled with a TEST next to the time and date. 



Note: To test the Agenda for your Virtual Event, the Sessions HAVE to be built in the Beta Virtual Event backend.

Go to the Agenda’s main dashboard, and you can scroll down and see that your test session is added at the bottom. From there, click View Landing Page at the top and you can scroll through and see the test sessions. They will be labeled TEST and only those test registrants will be able to see them. Can I Automatically add my Registrants from my Agenda to my New Sessions? 

Yes! In the case that you have custom registration fields associated with your custom agenda (learn more here), you can create a new session and test its flow as well as add those registrants over to the new Agenda item. 

Create a new Session, and check the Automatically register all registrants from agenda series to this session box. What this does is add the new session under the Agenda and copies over all those registrants in that Agenda to the new session. It’s a simpler way to keep your custom agenda, with custom registration fields, and copy over all registrants while having the ability to test the flow of your Agenda as well.
